GENERAL FUNCTIONS
Under the direct supervision of the Head of Unit, the incumbent will
be responsible for the following duties:
- Register new projects in the PIU database and the creation of
corresponding project folders in the PIU Archives and/or in
FileNet;
- Coordinate with field missions, service areas, and pertinent units
to ensure that PIU maintain record and documentation of under
development/newly-endorsed projects;
- Undertake periodic reviews of projects recorded in the database
with under development status, follow-up and check on current
developments, monitor status of unanswered correspondence, and request
confirmation if projects should be archived/cancelled after 6 months of
inactivity or no developments;
- Activate status of projects in the project database and in FileNet
upon receipt of project code issuance message from the Project ID Requests
Unit;
- Assist in the creation of grant folders and in the uploading of
project documents in FileNet;
- Provide support in the preparation of PIU replies/reports on
project related queries and requests;
- Assist in the management and maintenance of the PIU mailbox,
project compendium database, and the PIU Archives;
- Attend to the administrative and procurement requirements of the
Unit and liaise with IOM colleagues as maybe required;
- Manage and maintain PIU’s filing system. Ensure that relevant
unit communications and project related documentation are properly filed
and easily accessible when needed;
- Perform other duties as may be required.
DESIRABLE QUALIFICATIONS (EDUCATION, WORK EXPERIENCE,
COMPETENCIES)
- University degree in International Studies, Business
Administration, Humanities or related field
- Minimum three years of work experience
- Good computer skills including knowledge of the word
processing, spreadsheets, and database
- Excellent organization skills, attention to details, sense of
responsibility, and ability to work with minimum supervision
- Excellent communication and analytical skills
- Ability to prioritize work and produce accurate work
outputs
- Ability to work effectively and harmoniously with colleagues
from varied cultures and professional backgrounds
- Knowledge of French or Spanish, an advantage
